A client of ours in custom home remodeling, Custom Craft Contractors is looking for an experienced full-time hourly Office Administrator to join their team. We have been retained to help them find the most qualified candidate.
Custom Craft Contractors is located in Lansdale, PA. They are a custom home remodeling company with impressive talent and great pride in the work they complete. They have been serving the remodeling needs of the surrounding areas of Bucks and Montgomery County, PA since 1982. Custom Craft Contractors has established a solid customer base through their precision work, timely delivery, and outstanding customer satisfaction. The Office Administrator is responsible for supporting company staff by answering phones, processing paperwork, and managing office systems. The Office Administrator reports to the Office Manager. The Office Administrator has an hourly rate of $16.00 - $22.00, commensurate with experience. Our client offers a competitive benefits package.
Duties & Responsibilities of the Office Administrator:
1. Present self and Custom Craft in a professional manner at all times. Be a
team leader and set the standard for other employees and subcontractors
to follow.
2. Director of First Impressions: receive visitors and answer phones by
greeting, announcing, directing them appropriately, and taking messages.
Process new leads by filling out sheets, entering customer information into
tracking spreadsheet, and providing lead sheet to sales manager.
3. Accounting Transactions: Use Sage accounting software & Builder Trend to
process accounts payable and accounts receivable transactions, reconcile
and enter invoices, and maintain documentation.
4. Subcontractors: Maintain subcontractor files, 1099 forms, and essential
documentation.
5. Insurances: Maintain corporate insurance policies and process claims as
needed.
6. Office Records: Maintain the general filing system (digital & hardcopy) and
file all correspondences. Maintain company mailing list and other industry-
related maintenance such as working with warranties, registrations,
certifications, professional organizations, project reports, satisfaction
surveys, project reports, and contractual documents
7. Office Maintenance: Maintain inventory of essential office supplies, maintain
office and company equipment, including documentation and registrations
8. Organizational: Maintain a clean and organized reception area, mail
company correspondences, assist with event planning, and assist with
placing material orders, receipt of material deliveries, and processing
returns. Perform other duties and responsibilities as needed or requested
by supervisor.
Qualifications of the Office Administrator:
•Must have construction office experience
•High School Graduate with at least 3 years experience
•Ability to communicate effectively verbally and in writing, and present
information and respond to questions in a professional and organized
manner
•Good interpersonal and teamwork skills; effective organizational skills
•Basic computer skills including a working knowledge of Microsoft Office
software
•Basic knowledge of accounting; Sage accounting software knowledge is a plus
•Ability to maintain a high level of accuracy when entering information
